Wedding checklist for Estonia: a 12-month action plan
A year is not a mandatory planning period. It is simply a useful framework: make the decisions that affect everything else first and leave small details until later. If your timeline is shorter, compress the same sequence rather than trying to do every task at once.
Start with five decisions
- Agree on a spending limit and who is contributing.
- Draft a realistic guest list.
- Choose a few possible dates instead of relying on one.
- Define the format: dinner, large party, intimate ceremony or outdoor celebration.
- Name one person who keeps the current plan, contracts and contacts.
12–9 months before: set the foundation
Budget and guests
Write down the maximum you are comfortable spending. Separate essential costs, guest-dependent costs and optional details. Even an approximate guest count affects venue size, catering, transport and accommodation.
Date and format
Keep a main date and alternatives. If a particular venue or supplier matters most, check availability before announcing the date. An outdoor event needs a backup plan that guests could genuinely use.
Venue
Look beyond the interior: check the room in your seating layout, supplier access, music curfew, parking, accessibility and rules for external vendors.
Core team
Once the venue is clearer, shortlist the photographer, videographer, host, music, décor and caterer you actually need. Send every candidate the same brief.

8–6 months before: proposals and contracts
- Ask the venue for a complete proposal covering hire, catering, furniture, cleaning, equipment and possible extras.

- Confirm music, equipment and venue sound restrictions.
- Check scope, deadlines, payments, cancellation, rescheduling and replacement in every contract.

5–3 months before: turn separate bookings into one day

- Send invitations with a clear reply date.
- Collect dietary and accessibility needs.

- Assign delivery, installation and collection.
Food
- Confirm menu and service style.
- Clarify what the guest price includes.

Marriage registration in Estonia
Do not attach the application to an arbitrary month from a wedding blog. Tallinn’s official guidance says a marriage is concluded one to six months after the application is submitted. Eligibility for the online application depends on register data and other conditions, and the requested date is not reserved until an official confirms it.
If either partner has foreign documents or lives outside Estonia, check the official guidance for that specific situation. Additional documents, translations, an apostille or legalisation may be required.
2–1 months before: final assembly
- Confirm the headcount with the venue.
- Prepare seating and note individual needs.
- Put all supplier contacts in one document.
- Create a timeline with addresses, arrival times and owners.
- Discuss family groups and publication preferences with the photographer.
- Check transport, keys, parking and the weather backup.
- Name the person suppliers should call instead of the couple.
If you have fewer than three months
Secure the date, budget, guest count and venue first. Then check photography, hosting, music and catering in parallel. Drop details that require long production and use options that are genuinely available. Treat the legal registration separately: its official timeline cannot simply be compressed with the party plan.

- Do guests know where and when to arrive?
