Wedding budget in Estonia: categories and a practical plan
A useful wedding budget is not someone else’s table of “correct percentages”. It is a clear model of your own event. Weddings with similar guest counts can cost very different amounts because of the date, venue, duration, menu, logistics and team. Comparable proposals are more useful than an unsupported average price.
A simple structure
- Set the maximum you are comfortable spending.
- Keep a separate reserve for open conditions and possible extras.
- List essential categories.
- Separate costs that change with guest numbers.
- Add optional details only after the core is covered.
Main budget categories
Venue
Ask about: hire time, setup, furniture, cleaning, security, parking and music curfew.
Possible extras: overtime, equipment, staff, outside catering and deposits.
Food and drink
Ask about: what the guest price includes, children and supplier meals, service and tableware.
Possible extras: delivery, service, late hours and hired equipment.
Photo and video
Ask about: coverage, deliverables, deadline, storage, travel and usage rights.

Compare like with like
Send every candidate the same brief: date, location, guest count, working time, expected result and special requirements. Record five fields for each proposal:
- Included: exact scope and deliverables.
- Excluded: equipment, travel, taxes, hire or setup.
- Price variables: guest count, hours, location or package.
- Payment schedule: deposit and final payment.
- Changes: rescheduling, cancellation, headcount and overtime.
Practical rule: a cheaper proposal that omits an essential part is not a saving. It is an unfilled budget line.
Track planned, contracted and paid
Keep four values for each category: plan, contract price, amount paid and amount remaining. Add the due date and owner. Your budget will then show not only the total but also when the money is needed.

Is there a correct percentage for every category?
No. Percentages from another wedding create false precision. Define your essential requirements, collect real proposals and then decide which allocation makes sense for you.
How large should the reserve be?
There is no universal figure. The more unconfirmed prices, open conditions and complex logistics you have, the more valuable a buffer becomes. Reassess it after contracts are signed.
Reduce cost without breaking the event
Start with duplicated elements and details guests are unlikely to notice. Printed items, the number of décor zones, favours and programme complexity can often be simplified. Be more cautious with safety, food, transport, genuine venue capacity and the clear scope of key suppliers. For every new idea, ask what problem it solves and which existing budget line it will replace.
